Objective: Support the **planning, execution, and efficient control** of **procurement, warehousing, inventory, and distribution** processes for goods and services, ensuring timely supply of necessary resources for the regular development of academic and administrative **operations** of Grupo Educativo Transforma. What are the challenges? **A. Purchasing and Supplier Management** * Requirements: Receive, register, and consolidate requests for goods and services from different departments (Academic, Marketing, Administrative, etc.). * Quotations: Carry out the process of searching and requesting quotes from suppliers, ensuring competition and transparency. * Comparative Tables: Prepare comparative offer tables to facilitate supplier selection and the issuance of Purchase/Service Orders. * Orders: Issue and follow up on approved Purchase and Service Orders, coordinating their delivery and receipt of supporting documentation (Delivery Notes, Invoices). * Database: Maintain and update the registry of approved suppliers for educational materials, computer equipment, and general services. **B. Warehouse and Inventory Management** * Receive and verify purchased goods, checking quantity and quality against the Purchase Order and Delivery Note. Report any discrepancies. * Storage: Organize and safeguard materials in the warehouse (teaching materials, uniforms, office supplies, equipment), applying classification methods (FIFO, LIFO) and ensuring cleanliness and security. * Dispatch and Distribution: Fulfill internal department or educational site requests, issuing corresponding Release Vouchers and coordinating timely dispatch. * Inventory: Conduct physical inventories (cyclic and general) and compare them with system records, reporting discrepancies to the immediate supervisor. * Asset Control: Assist in fixed asset management (equipment, furniture), recording entries, exits, and locations, and participating in disposal or obsolescence procedures. **C. Logistical Coordination and Documentation** * Documentation: Properly manage and archive all logistical documentation (orders, quotations, contracts, delivery notes, inventories) both physically and digitally. * Payments: Reconcile Delivery Notes and Purchase/Service Orders with Invoices, endorsing documents that meet requirements for payment processing with the Accounting/Finance department. * Transportation: Coordinate and supervise transportation or courier services for material distribution between sites or to specific clients (if applicable), optimizing routes and costs. * Reports: Prepare and present monthly management reports and indicators (stock levels, purchase lead times, dispatch efficiency, etc.). * Continuous Improvement: Propose and implement operational improvements in logistical processes to optimize time and reduce costs. What are we looking for? * **Technical or University graduate (completed studies or bachelor's degree)** in Administration, Industrial Engineering, Logistics, Accounting, or related fields. * **Experience:** **Minimum 2 years** of experience in similar roles (Logistics, Purchasing, or Warehouse Assistant/Aide). * **Desirable** experience in the education sector, mass consumer goods, and/or retail.
