As our operations grow in Latin America, we’re looking for an Administrative Assistant in Arequipa, Peru to support the day\-to\-day logistics, order tracking, and administrative processes for the region. Reporting directly to the Systems Administrator Manager based in Chile, you will play a key role in ensuring our orders, inventory, and documentation are organized, accurate, and moving forward. If you have a sharp eye for detail, a proactive mindset, and experience working in logistics, inventory, or order processing — we want to meet you. Order \& Inventory Support * Register and update customer orders within internal systems and Excel logs. * Validate serial numbers, confirm product receipt, and communicate delivery timelines. * Track physical inventory levels and assist in maintaining warehouse organization and documentation. * Prepare and execute dispatches of pumps, spare parts, and service items. Repairs, Rentals \& Documentation * Create purchase orders for rentals and repairs and maintain supporting documentation. * Help manage the rental fleet by monitoring availability, coordinating parts, and supporting billing activities. * Support the preparation and submission of shipping and customs documentation. Logistics \& Imports * Collaborate with logistics partners on the movement of equipment and parts across Peru. * Participate in transportation planning, import tracking, and customs clearance processes. * Monitor shipment timelines and maintain updated logistics records. Administrative \& Finance Support * Provide day\-to\-day administrative assistance including filing, reporting, and internal process tracking. * Work closely with accounting to support reconciliations, invoice reviews, and payment tracking. * Support the generation of operational reports and regional documentation requests. \* Technical Requirements: * Technical degree or university education in Administration, Logistics, International Trade, Engineering, or a related field. * Previous experience in similar roles managing purchase orders and logistics documentation (ideally in industrial, machinery, or manufacturing sectors). * Proficiency in Excel (pivot tables, formulas, and data analysis). * Experience with ERP and/or CRM systems (preferred). * Intermediate English (preferred, for understanding documents and communicating with international technical support).
