




Job Summary: Support the daily operations of Document Management, ensuring proper handling, administration, retrieval, and final disposition of information in accordance with quality standards. Key Responsibilities: 1. Maintain a high standard of customer service and support documentary processes. 2. Build and maintain business relationships with customers. 3. Ensure compliance with regulations governing information and records management. Support daily operations related to the company's Document Management in accordance with established procedures, standards, parameters, and policies for each process, thereby guaranteeing proper handling of information, as well as its administration, retrieval, final disposition and/or storage, ensuring the quality standards established by the client and the company. Our teams support one another through daily connections and collaborations so that we can grow together. **Education and Experience** * Technical degree in Business Administration, Records Management, or related fields * Minimum 1 year of experience in administrative tasks, records management, or customer service Proficiency in Microsoft Office. * **Competencies:** * Assertive communication skills * Attention to detail * Organized * Responsible * High levels of commitment * Goal-oriented * Responsible for receiving and storing all information (documents generated by various departments) * Digitize or manually enter documents within the organization when required; for processes involving this activity, must oversee correct document digitization by various company departments * Update information across the company’s various document and information platforms * Support departments in renaming documents, applying the relevant business acronyms provided * Responsible for uploading documents into SITERRA or overseeing this process when performed by other departments * Accountable for the proper storage and management of document and correspondence archives per established process policies and existing confidentiality agreements * Serve the public courteously, promptly, and respectfully—those bringing documents and correspondence to company facilities—while honoring turn-taking rights * Maintain strict confidentiality regarding documents, accessible information, and matters within one’s scope of responsibility * Propose methods and procedures to modernize and streamline archival processes * Responsible for appropriate use and handling of work tools * Maintain a record of every document generated by departments to ensure clear and accurate knowledge of information associated with each of our assets * Responsible for coordinating the upload of documents generated by each department into SITERRA—or any other tool designated by the organization for this purpose * Responsible for maintaining an official “Back\-Up” of all information supplied by various departments regarding company sites and assets * Responsible for handling the generation of new reports and centralizing information * Timely delivery of reports and updates on the volume of documents managed to the requesting department * Generate periodic management reports on the number of projects and activities completed and underway by the Operations team * Responsible for quality control of company information and documents.
