Employee Contract Type: Fixed-Term Employee (fixed duration) Job Description: LOCATION: Huíla Province \- Lubango KEY RESPONSIBILITIES Installation and maintenance of CTS operations at the Huíla office:* Coordinate with the CTS Coordinator at the Provincial Office on: system issues, related trainings, installation of new CTS updates, and maintenance of its operations. * Provide regular technical support to food monitors and logistics operators to ensure maximum use and maintenance of forms. * Manage the CTS and be capable of generating reports by category, such as commodities, shipment numbers, donors, programs, etc. * Conduct regular training sessions for food monitors on new system updates and quarterly refresher trainings for food monitors and logistics operators on CTS requirements. * Conduct monthly physical inventories in collaboration with food monitors and logistics operators. Collection and distribution of food assistance and NFI reports:* Coordinate with food monitors and logistics technicians for timely receipt of delivery notes, center distribution (school) visit reports, truck inspection reports, warehouse inspection reports, loss/damage reports, daily/monthly distribution reports, monthly physical inventory reports, and other relevant reports. * Review all reports generated by the CCTS and formatted in Excel for appropriateness and accuracy. * Supervise maintenance of a highly organized and chronological filing system, ensuring that printed copies of required reports are available and easily accessible at any time. * Maintain a visual record or checklist of receipt of these reports. * Initiate follow-up requests for missing reports from municipal food monitors/logistics officers. * Conduct monthly reconciliation between prepared monthly reports and the monthly distribution plan and reports. * Ensure timely review, approval, and submission of various reports related to school-based food distribution by the 5th of each month for the previous month, and submit to the Commodity Product Manager feedback on CTS performance for the current month to support preparation of WVA’s monthly management report by the 5th of each month. Collection of global CTS reports:* After completion of monthly commodity reports, generate global CTS reports (reports related to school-based food distribution), reflecting updated and accurate global information on WV Angola’s commodity distributions. * Submit reports to the Commodity Manager for analysis prior to sending them to WVUS. * Perform other duties as assigned by the Commodity Manager REQUIREMENTS :* Diploma in Information Technology. * Experience in commodity management and accounting. * Must possess strong analytical, writing, and communication skills. * Candidates must also have at least 2 years of related experience, preferably in commodity management, using Excel and other database systems/platforms. * Fluency in English and Portuguese, and excellent report writing and presentation skills. * Candidate must also have computer literacy with proven competencies in spreadsheet and word processing applications. * Valid driver’s license required. * Ability to perform field tasks and willingness to travel for extended periods in difficult terrain, adverse and demanding conditions. * Candidates must also be willing to work in highly challenging areas. * Prepared to travel to implementation sites and regional meetings as required. * Prior experience, preferably with an NGO or UN agency, handling food commodities and food commodity control and accounting. * At least 3 years of experience with application development tools, preferably Visual Basic and Microsoft Access.
