In this role, you will be responsible for ensuring the smooth flow of administrative operations, with emphasis on payment scheduling, supplier communication, and maintaining accurate records in the ERP system. **Key Responsibilities** * **Payment Management:** * Schedule and process administrative and operational payments. * Upload payment requests to bank web portals and coordinate management approval. * Issue checks and perform bank transfers. * Maintain consistent communication with suppliers to manage invoice and other document payments. * Send payment confirmations to suppliers. * Receive and coordinate supplier promissory note signatures. * Submit monthly reports on bank debts and outstanding promissory notes. * **Document Control:** * Register and maintain up-to-date payment vouchers (invoices, professional fee receipts, etc.) in the ERP system. * Ensure every received promissory note is linked to one or more invoices from the same supplier, with amounts and due dates approved by Finance. * Verify that all material invoices are accompanied by a purchase order generated by the Logistics department. * Ensure all company account disbursements have appropriate accounting support; otherwise, notify Finance and Management. * **Administrative Support:** * Answer calls and handle supplier inquiries. * Receive office supply and cleaning material requests, verifying stock levels or requesting Finance approval for purchases. * Assist with off-site administrative procedures upon request from Finance or Management. **Candidate Requirements** * Prior experience in administrative assistant roles, with strong emphasis on payment management. * Completed studies in Administration and/or Accounting. * Proficiency in ERP systems for recording purchases and payment vouchers. * Ability to work independently and collaboratively. * Excellent communication and organizational skills. * Attention to detail and accuracy in handling documents and data.
