Maintain constant communication and coordinate with other departments. **Job Description: Dispatch / Distribution Staff** Dispatch staff are responsible for **executing and ensuring the correct preparation, verification, and delivery of finished products**, guaranteeing that orders are dispatched complete, in good condition, and within established timeframes. Their role is critical to maintaining operational efficiency and end-customer satisfaction, as well as providing support in **documentary record keeping and operational coordination**. **Main Responsibilities** **Dispatch and Distribution Management** * Prepare orders according to sales orders. * Physically verify each order (model, size, quantity, product condition). * Supervise and execute proper loading and unloading of goods. * Ensure correct packaging and handling of finished products. * Coordinate with production and warehouse regarding actual product availability. * Confirm that each dispatch is complete, error-free, and delivered within the scheduled timeframe. * Accompany or assist deliveries when required. **Documentary Control and Record Keeping** * Review and validate dispatch documents (waybills, invoices, orders). * Maintain physical and/or digital tracking of dispatched orders. * Record goods outgoing in systems, Excel, or internal formats. * Support basic inventory control (receipts and outgoing). * Keep dispatch documentation files organized. **Communication and Coordination** * Maintain constant communication with: Production Department (order status), Administrative Department (documentation and invoicing), Drivers or delivery personnel (route and delivery coordination). * Promptly report any incidents: Shortages, Damaged products, Order errors, Dispatch delays. * Confirm completed deliveries and report order status. **Operational Order and Control** * Maintain a clean, orderly, and organized dispatch area. * Ensure proper placement of products ready for dispatch. * Comply with basic safety standards for loading and handling. **Profile and Key Competencies:** * High sense of responsibility and commitment. * Organizational skills and ability to maintain control. * Strong communication and coordination skills. * Attention to detail. * Ability to perform both physical and administrative tasks (hybrid role). * Proactivity and problem-solving capability.
