Position Summary:
We are seeking a proactive professional with experience in administrative management, logistics, and event organization, responsible for supplier negotiations and operational supervision.

We seek a proactive professional with experience in administrative management, logistics, and specialized expertise in event organization. The candidate will be responsible for coordinating supplier negotiations, contract management, and operational supervision before and after event execution.
**Main Responsibilities**
· Supplier Management: Sourcing, selection, quotation, and rate negotiation with service providers (catering, audiovisuals, furniture, structures, etc.).
· Operational Coordination: Scheduling calls, managing cross-departmental meetings, and continuously tracking event requirements.
· Technical Site Visits: On-site visits and inspections of selected venues and spaces to assess feasibility and logistics for setup.
· Contractual and Administrative Management: Drafting, reviewing, and tracking contracts, purchase orders, payment vouchers, and budget settlements.
· On-Site Support: Direct coordination and supervision during the event to ensure compliance with agreed standards.
· Documentation and File Management: Preparing documents (letters, reports, memoranda) and rigorously tracking the status of administrative files.
· Internal Department Coordination: Continuous liaison with departments such as Accounting, Finance, and Operations to channel requirements, approvals, and information flow.
· Payment and Budget Management: Recording, scheduling, and tracking supplier payments; issuing purchase orders; controlling payment vouchers; and settling expenses.
**Requirements**
· Experience: Minimum of 5 years in administrative, logistical, or event production roles.
· Education: Bachelor’s degree in Administration, Marketing, Business, or related fields.
· Key Skills: Negotiation ability, excellent verbal and written communication, dynamism, strong problem-solving capability, and attention to detail.
· Tools: Intermediate proficiency in Microsoft Office (Excel, Word).
· Availability: Flexibility to conduct on-site visits and venue inspections.
**Position Conditions**
· Compensation: PEN 2,500 per month (negotiable).
· Work Mode / Schedule: In-person / Full-time, 08:30–17:30.
· Workplace: Regional Council of Lima, Medical College of Peru \- Miraflores
