




Job Summary: Plan, coordinate, and supervise administrative, financial, and operational processes, ensuring efficient use of resources and supporting the Presidency to achieve institutional objectives. Requires skills in planning, organization, and analysis. **Job Objective** Plan, coordinate, and supervise the institution’s administrative, financial, and operational processes, ensuring efficient resource utilization, compliance with the Board of Directors’ directives, and appropriate support to the Presidency for achieving institutional objectives. **Main Responsibilities** * Develop, propose, and monitor implementation of APAVIT’s Annual Plan. * Develop, propose, and monitor execution of the institutional budget, ensuring compliance with directives approved by the Board of Directors. * Manage and execute the associate membership process, maintaining an updated and validated institutional registry. * Administer, organize, and safeguard physical and digital documentation of associates, guaranteeing confidentiality, integrity, and availability of information. * Design, implement, and analyze institutional surveys directed at associates, preparing reports with conclusions and improvement proposals. * Prepare executive, administrative, and statistical reports for the Presidency and the Board of Directors, facilitating decision-making. * Monitor and track compliance with agreements, strategic alliances, and institutional projects, reporting progress and alerting deviations. * Manage the Presidency’s schedule, institutional email, and logistical coordination of internal and external meetings. * Draft meeting minutes, summaries, or executive summaries, ensuring proper distribution and timely filing. * Coordinate, execute, and monitor strategic alliances and institutional agreements, including sponsors for events, provincial branch openings, and institutional representation trips. * Participate in, assist with, and provide administrative and logistical support for organizing and conducting fairs, events, and institutional activities. * Accompany the Presidency in institutional activities and representations, as required. * Administer material resources, control inventories, and manage incoming and outgoing institutional correspondence. * Perform other duties related to this position assigned by the Presidency or the Board of Directors. **Requirements** * Academic qualification: Bachelor’s degree in Administration, Accounting, Tourism, Business Management, or related fields. * Minimum 2 years of experience in similar coordination or supervisory roles. * Proficiency in office software (Word, Excel, PowerPoint, Google Workspace). * Willingness to travel nationwide and participate in fairs, events, and institutional activities. **Competencies** * Planning and organization. * Communication. * Proactivity and responsibility. * Analytical and synthesis skills.
