Join us as a **Service Contracts Assistant**. **Your Mission** You will be responsible for providing administrative support to the Operations department, managing processes related to the Service Contracts area. Your role will be critical in ensuring proper personnel registration, documentation tracking, travel coordination, timekeeping, administrative reporting, and timely resolution of contract-related needs—contributing to operational continuity and compliance with Epiroc’s service standards. **What Will Be My Responsibilities?** * Maintain the central database for vacations, medical leaves, timekeeping records, and personnel movements, generating timekeeping and man-hour reports for internal customers. * Manage personnel registration with clients, preparing files according to the specific requirements of each operation or mining unit, in coordination with internal departments. * Coordinate issuance of air tickets and transportation for personnel traveling to Service Contracts and/or mining units where they will render services. * Manage minimum stock levels of PPE for the Parts and Services department, ensuring availability of required equipment for operations. * Support Operations in personnel timekeeping and tracking of administrative movements. * Validate that expense settlements for Operations personnel and for contracts without an administrator comply with the applicable policy. * Prepare and issue labor obligation reports for clients, ensuring timely and reliable information. * Assist in preparing the invoice submission file for Service Contracts. * Monitor and address administrative needs arising from contracts, maintaining updated supply flow to operations. * Perform duties assigned or delegated by your immediate supervisor, aligned with Epiroc’s safety, quality, and service standards. **Ideal Candidate for This Position:** * University graduate in Business Administration, Administrative Engineering, or related fields. * Minimum 2 years of experience in similar roles; experience in mining or construction service companies is preferred. * Experience in administrative personnel management, timekeeping control, personnel movements, medical leaves, vacations, and internal reporting. * Knowledge or experience in personnel registration processes for mining units, file preparation, and documentary coordination with clients. * Advanced proficiency in Microsoft Office, especially Excel, and advanced database management skills. * Desired knowledge in process optimization, customer service, and current legal regulations related to safety, occupational health, quality, and environment. * Intermediate English proficiency is desirable. * Willingness to travel to mining units when required. * We seek an organized, responsible, customer-oriented individual with effective communication skills, teamwork ability, planning capability, collaboration, commitment, and innovation. **It All Starts With People.** The world needs metals and minerals for the energy transition, and our cities and infrastructure must expand to serve a growing population.
