Position Summary:
We are seeking a Programs Management Assistant to support the planning, preparation, and launch of training courses and programs.
Key Responsibilities:
1. Support in planning and launching training programs.
2. Coordination with instructors and management of materials.
3. Development and monitoring of course schedules.
On behalf of our client, we are looking for a Programs Management Assistant to support the planning, preparation, and launch of training courses and programs.
RESPONSIBILITIES
* Develop and update program launch calendars and class schedules.
* Define start dates, timings, frequency, number of sessions, and duration for each course.
* Research similar programs and prepare syllabus proposals, structure, and duration.
* Coordinate with instructors for syllabus review and adjustments.
* Identify, contact, and conduct initial screening of potential instructors.
* Coordinate with instructors regarding availability, schedules, materials, terms, and execution dates.
* Prepare pricing proposals considering duration, instructor costs, market benchmarks, and target margin.
* Maintain an updated master calendar of programs and upcoming launches.
* Coordinate the creation and configuration of courses on the virtual platform.
* Schedule Zoom sessions and verify links, timings, and access.
* Coordinate receipt and upload of materials, presentations, and assessments.
* Ensure each program is fully prepared before launch and commencement.
* Monitor key incidents during program delivery.
* Prepare and issue certificates and attendance records upon course completion.
REQUIREMENTS
* Final-year student, graduate, or bachelor’s degree holder in Administration, Industrial Engineering, Management, Business, or related fields.
* Minimum 6 months of experience in project coordination, training, programs, operations, or similar functions.
* Intermediate-level proficiency in Excel or Google Sheets.
* Ability to develop schedules, organize activities, and track deadlines.
* Ability to research information, compare alternatives, and prepare proposals.
* Strong coordination skills with professionals, instructors, and vendors.
* Prior experience in budgeting, cost analysis, or pricing analysis is desirable.
* Proficiency in Zoom, Google Workspace, or Microsoft Office.
* Familiarity with Moodle or other LMS platforms is desirable.
