We seek a highly organized professional with sound judgment, initiative, and absolute confidentiality—capable of becoming the primary support for our General Management and accompanying the company’s growth. **Job Objective** Provide comprehensive administrative, operational, and executive support to the General Management, ensuring efficient, organized, and confidential management of managerial activities. Additionally, facilitate coordination among the company’s various departments, ensure project follow-up, support decision-making, and oversee the proper functioning of the General Management office—contributing to the achievement of the organization’s strategic objectives. **Main Responsibilities** **\* 1\. Executive Assistance** * Manage and organize the General Management’s schedule, coordinating meetings, appointments, travel, and commitments. * Schedule in-person and virtual meetings, ensuring participant availability and required resources. * Draft meeting minutes and track implementation of agreed-upon actions. * Provide ongoing support to the General Management in all assigned administrative and executive tasks. **2\. Administrative and Document Management** * Prepare reports, executive summaries, presentations, comparative charts, and other documentation requested by the General Management. * Draft letters, memoranda, corporate communications, and official documents. * Organize, classify, and maintain up-to-date physical and digital archives of General Management documentation. **3\. Procurement and Logistics Management for Administrative Needs of the General Management** * Manage procurement and supply of: office supplies, cleaning and sanitation materials, cafeteria items, computer equipment, technological accessories, furniture, etc. * Request quotations, evaluate proposals, and coordinate with suppliers for acquisition of goods and services. * Coordinate maintenance and supply of resources necessary for optimal office operations. **4\. Coordination of Corporate Travel** * Manage purchase of domestic and international air tickets. * Coordinate hotel reservations, transportation, and logistics for corporate travel. * Prepare itineraries and required documentation for General Management travel. **5\. Administrative and Interdepartmental Procedures Management** * Represent the company in administrative procedures when required. * Manage and track procedures before: SUNARP, Notaries, ATU, AAP, Municipalities, and/or other public entities requiring General Management representation. * Coordinate legalization, certification, and acquisition of corporate documentation. * Coordinate with various company departments to fulfill requirements issued by the General Management. * Track tasks, projects, and commitments assumed by different departments. * Coordinate execution of activities involving multiple departments across the organization. **6\. Executive Hospitality and Protocol** * Maintain the General Management office in optimal condition regarding order, appearance, and functionality. * Ensure adequate supply of office materials for the General Management office. * Coordinate and attend to hospitality requirements of the General Management during working hours, meetings, and visits—including preparation or arrangement of coffee service, beverages, snacks, lunches, or dinners when required. * Coordinate catering services for executive meetings. * Receive and courteously assist clients, suppliers, authorities, and visitors, projecting a professional corporate image as required by the General Management. * Organize necessary logistics for meetings, presentations, and visits by the General Management. **7\. Handling of Confidential Information** * Maintain absolute confidentiality regarding the company’s financial, commercial, strategic, and administrative information. * Safeguard sensitive documentation and ensure appropriate handling of information under one’s responsibility.
